Booking

The Booking module is used where the physical movement of incoming items must be tracked before or during the capture process. It provides a chain-of-custody record from the moment work arrives at the mailroom or scanning bureau.

When Booking is used

Booking is enabled by configuration. When active, it replaces the Dashboard as the landing page and is typically used in environments where:

  • Physical post, parcels, or courier deliveries arrive and must be logged.
  • There is a hand-off between reception/mailroom staff and scanning operators.
  • Audit or regulatory requirements demand proof of receipt and chain-of-custody.

Creating a Booking

To create a new booking log:

  1. Click the Add button in the top-right corner of the Bookings page to open the creation modal.
  2. Fill in the standard fields:
    • Received Date – Select the date and time physical items were received.
    • Customer – Select the sender customer from the dropdown list.
    • Courier – Select the courier company that delivered the items.
  3. The logged-in Operator is automatically captured and displayed.
  4. Click Save to create the booking.

Barcode Tracking Workspace (Booking Details)

When you click the Open button (external link icon) next to any booking entry, you enter the dedicated barcode tracking and check-in workspace:

1. Tracking Mode Toggle

  • Tracking (Yes/No) – Set this switch to Yes if the incoming items have tracking barcodes to scan, or No if you are checking in unrecorded sheets/envelopes.

2. Barcode Input ("Yellow Box")

  • Focus on the high-contrast yellow input field (Tracking ID).
  • Scan the item's barcode or type the tracking ID manually, then press Enter.
  • The item is immediately registered and added to the Booking Detail List table below.

3. Verification Counters

The workspace maintains real-time tallies of checked-in items:

  • Recorded – Counts the number of successfully scanned tracking IDs.
  • Non Recorded – Counts unchecked or manually logged items.

4. Detail Actions

Depending on server configuration, operators can manage detail rows:

  • Delete – Click the red trash button to remove a detail row. Deletions are controlled by administration settings (which determine whether deleting recorded tracking IDs or non-recorded items is allowed for your user role).

When batch header printing is enabled:

  • Operators can print separator pages containing barcodes for incoming boxes/batches.
  • Click the Print (printer icon) button next to any booking.
  • In the print modal:
    1. Select the destination Batch Setup.
    2. Input the Number of Batch Headers to generate.
    3. Fill out any custom Batch Fields required by the setup.
    4. Click Print to produce physical sheets for scanner separation.

Configuration Settings

The behavior and visibility of the Booking module is managed by your system administrator. Depending on your organization's workflow settings, the following options can be enabled or disabled:

  • Enable Booking Module – Toggles the visibility of the Booking module in the navigation bar.
  • Enable Batch Header Printing – Toggles the button allowing operators to print physical batch separators/headers.
  • Enable Recorded Item Deletion – Controls whether operators are allowed to delete barcode tracking rows that have already been scanned.
  • Enable Non-Recorded Item Deletion – Controls whether operators are allowed to delete manually added (non-recorded) check-in rows.
